Privacy Policy
- If you use Haul Sheet by yourself without an account, your data stays on your phone. We don't receive it.
- If you turn on online sync, a fleet or backup, your data is stored on our servers in the United States so it can sync and be backed up.
- We use your data only to run the app for you. We don't sell it, rent it, or use it for ads, and we don't track you across other apps or websites.
- Ticket and receipt scanning happens on your phone. Photos go to our servers only if you use online sync.
- GPS miles is off unless you turn it on. It only records while you're on the clock. Your route is never saved or uploaded. Only miles per state per day are kept.
- You can delete your data and your account at any time.
1. Who we are
Haul Sheet ("Haul Sheet", "we", "us") is an iPhone app for truck drivers, owner-operators and trucking fleets, and this website, haulsheet.org. The operator is Haul Sheet, operated by Carl Wakefield. This policy covers the Haul Sheet app and website. Questions go to [email protected].
2. How the app works: on-phone vs. online
On this phone only (the default for owner-operators). You don't need an account. Everything you enter (loads, tickets, time cards, fuel, expenses, pay and photos) is stored on your iPhone. We don't receive it. If your iPhone uses iCloud Backup, Apple may include the app's data in that backup under Apple's privacy policy. A backup file you export yourself goes wherever you choose to save or send it.
Online sync, fleets and online backup (optional). If you create an account, join a fleet, or turn on online backup, the data you enter in the app is sent to and stored on our servers so it can sync between phones, be shared with the people in your fleet, and be backed up. The rest of this policy mostly covers this online data.
Suggestions and feedback. If you send feedback from the app, it reaches us whether or not you have an account (see below).
3. What we collect and why
| Information | Examples | When we get it | Why |
|---|---|---|---|
| Account details | Email address, password (stored only as a secure hash by our login provider), your name, your role (owner, co-owner, office, driver) | When you create an account or accept an invite | Sign in, invites, password resets, account emails, support |
| Driver sign-in details | Fleet code, truck number, driver name, and the passcode the owner sets (stored as a hash) | When the fleet owner adds a driver, and when a driver signs in | Let drivers sign in without an email |
| Work records | Dates, start and end times, hours, odometer readings, loads, landings, mills or customers, ticket and BOL numbers, weights and tons, wait times, miles by state, fuel, per diem, notes, truck numbers | When you enter or scan them with sync on | Sync, time cards, reports, fleet sharing, backups |
| Financial information | Pay rates, fuel surcharge, load pay, pay statements you import, expenses, recurring bills, profit and loss, tax report figures | When you enter or import them with sync on | Pay and profit calculations, statement checks, reports. Hidden from drivers unless the owner allows it. |
| Photos and documents | Photos of load receipts, scale tickets, fuel and expense receipts. Imported pay statement files. | Only with sync on. Otherwise they stay on your phone. | Keep the proof with each record and share it in your fleet |
| Feedback | Your message, an optional screenshot or photo, an optional contact email, plus app version, phone model (not its name), iOS version and your role. Your fleet, if you're signed in. | When you send feedback | Fix bugs, improve the app, reply to you if you asked. Never includes your loads or pay. |
| GPS miles (only if you turn it on) | Miles per state or province per day, split into on-road and off-road, and the number of GPS points counted. Never your route or raw GPS points. | While you're on the clock, with GPS miles on. Synced only with online sync. | Miles by state for your time card, IFTA and state mileage tax reports |
| Sync and activity info | When each phone last synced, which records changed, and technical logs (for example IP address and time of a request) | When the app syncs | Run sync and the owner's live activity feed, keep the service secure, fix problems |
| Subscription status | Whether your subscription or trial is active. Apple handles the payment, and we never see your card number. | When you subscribe through the App Store | Unlock paid features |
We don't collect your contacts, health data, browsing history or advertising identifier. The app has no ads, no ad networks, and no third-party analytics or tracking.
We use information only to provide, maintain, secure and improve Haul Sheet, to communicate with you about the app (such as invites, sign-in emails, support replies and important changes), and to comply with the law. We don't use your business data to market to you, and we don't sell or share it for advertising.
4. Phone permissions: camera, photos, location
iOS asks your permission before the app can use any of these. You can say no, or change it later in iPhone Settings, then Haul Sheet. The app still works, and you can type everything in.
- Camera: used only when you tap to scan or photograph a ticket or receipt. The text is read on your phone, using Apple's built-in text recognition. Photos and scanned text aren't sent to us or anyone else for reading.
- Photos: used only to pick a ticket or receipt photo you already took, or to save a ticket photo to your library if you ask. We only get the photos you choose, and only if sync is on.
- Location (GPS miles by state, optional): Haul Sheet uses your location only if you turn on GPS miles and allow location access. Here's how it works:
- Only while you're on the clock. It starts when you start your day and stops when you end it. It keeps counting with the screen off or the app in the background, which is why iOS asks for "Always" access. You can turn GPS miles off, or change location access in iPhone Settings, any time.
- Your route is never saved or uploaded. GPS points are held on your phone only until the app adds them up into miles (usually the next time you open it), and then they're deleted. The state and province lookup is done on the phone, with no map service.
- Only miles per state per day are kept: total miles, on-road and off-road miles for each state or province, and how many GPS points were counted. These daily totals are part of your records, and they sync to your fleet only if you use online sync.
- The last GPS point stays on your phone, so the next stretch of driving continues from the right place. It's never synced or uploaded.
- The off-road switch marks miles as off-road (for example logging or private roads) while it's on.
- Location is not used for tracking or ads, isn't sold, and isn't shared with anyone outside your fleet. In a fleet, owners, co-owners and office accounts with access can see a driver's miles per state per day, the same as typed miles. They can't see the route or where the driver is.
- If you don't turn on GPS miles, Haul Sheet never asks for or uses your location, and you can type miles in instead.
- Notifications (if added later, for example for reminders or document expiry alerts): used only for the alerts you turn on.
5. Fleets: who can see what
If you're part of a fleet, the fleet's data is shared within that fleet:
- Owners and co-owners can see and manage all the fleet's data, including every driver's records, pay and photos.
- Office accounts can see and do what the owner switches on for them.
- Drivers see their own work and only what the owner allows. Pay, rates, statements and profit are hidden by default. Our server enforces this, so a driver's phone isn't sent data the driver isn't allowed to see.
The fleet owner decides who's in the fleet and what they can see. A fleet owner is responsible for having the right to add the people they add, and for how they use their drivers' information. If you're a driver and have questions about your fleet's data, ask your fleet owner or contact us.
Feedback you send is only visible to the Haul Sheet developer, not to your fleet owner.
6. Service providers
We use a small number of companies to run Haul Sheet. They process data only on our behalf and under their own security and privacy commitments:
| Provider | What they do for us | Data involved |
|---|---|---|
| Supabase | Database, sign-in, private file storage, live updates and backups. Hosted in the United States. | Account details, online work and financial records, photos, feedback, backups |
| Resend | Sends the app's emails (sign-up confirmations, invites, password resets) from haulsheet.org | Email address, and the content of those emails |
| Apple | App Store distribution, subscriptions and payments, TestFlight, on-device text recognition | Purchase information is handled by Apple under Apple's privacy policy |
| Cloudflare | Hosts this website and the haulsheet.org domain, and forwards email sent to our support address | Standard web request data and emails you send us |
Photos are kept in private storage. They're not public links, and only people in your fleet with permission can open them.
7. When we share information
We don't sell your personal information, and we don't share it for cross-context behavioral advertising. We share it only:
- with the people in your fleet, as described above;
- with the service providers listed above, to run the app;
- if the law requires it, for example a valid court order, or to protect the rights, safety or property of our users, the public or us;
- as part of a business transfer (such as a merger or sale of Haul Sheet), in which case this policy keeps applying to your information, or we'll tell you first;
- with your permission, for example when you export or share a time card, report or backup file yourself.
8. How long we keep it
- Online records and photos: for as long as your account or fleet is active, until you or the fleet owner delete them.
- Deleted records: when you delete a record, a small "deleted" marker is kept so the deletion syncs to every phone. The content itself is removed.
- Nightly fleet backups: kept for 14 days, then deleted automatically. If we use our database provider's daily backups, those are kept for up to 7 days.
- Driver activity feed (for example "Truck 217 added a load"): deleted after 30 days.
- Feedback: kept until we've dealt with it, and for as long as it's useful for improving the app. You can ask us to delete it.
- After account deletion: your data is removed from the live database within 30 days and drops out of backups as they expire (within about 14 more days). We may keep limited records if the law requires it (for example, records of a legal request).
- Data on your phone stays until you delete it in the app (Settings, then Erase everything) or delete the app.
9. Deleting your data and account
You can delete your account and its data at any time. Step-by-step instructions are on our Delete your account page, inside the app or by email.
- If you're a fleet owner, deleting your account deletes the fleet and all its data, including drivers' records and photos. Export a backup first if you want to keep a copy.
- If you're a co-owner, office account or driver, deleting your account removes your login and personal details. Work records you entered for the fleet belong to the fleet's records and stay with the fleet owner unless the owner deletes them. Ask the fleet owner, or contact us.
- Canceling your App Store subscription doesn't delete your account. Deleting your account doesn't cancel your subscription either. Cancel it in iPhone Settings, then your name, then Subscriptions.
10. Your choices and rights
Wherever you live, you can ask us to access, correct, export or delete your personal information, and you can choose not to receive non-essential emails. Many records can be edited or exported in the app directly. Email [email protected] for anything else. We'll respond within 30 days and may need to confirm it's really you. Depending on your state (for example California, Colorado, Connecticut, Oregon, Texas, Virginia and others), you may have these rights under state privacy law, and we won't treat you differently for using them. If we turn down a request, you can appeal by replying to our answer.
If your information is part of a fleet run by someone else (for example, you're a driver), we may pass your request to the fleet owner, since they control that fleet's business records.
11. Security
Data travels to our servers encrypted (HTTPS). Access is controlled by row-level security rules on the server, so each person only gets the data their role allows. Passwords and driver passcodes are stored as hashes, never in plain text. Photos are in private storage. No system is perfectly secure. If a breach affects your personal information, we'll notify you as the law requires. Keep your passcode and password to yourself, and tell us right away if you think someone has used your account.
12. Children
Haul Sheet is a business app for adults working in trucking. It isn't meant for children under 16, and we don't knowingly collect personal information from children under 13 (or under 16 where state law says so). If you think a child has given us personal information, email us and we'll delete it.
13. This website
haulsheet.org has no ads, no analytics and no tracking cookies. Our host (Cloudflare) processes standard request data, such as IP address and browser type, to deliver and protect the site. If you join the waitlist or email us, we use your email address only to reply and to tell you about Haul Sheet. Ask us to remove you any time.
14. Changes
We'll update this policy when the app changes. We'll change the "Last updated" date, and for important changes we'll tell you in the app or by email before they take effect.
15. Contact
Email [email protected], or send feedback from the app's More menu.
